A plain-language privacy summary.

Kairos is in founding pilot recruitment. This page sets out, in plain language, how we currently treat information shared with us. It will be replaced with a full, legally reviewed privacy policy before public launch.

Updated as the pilot progresses

Summary

What information may be collected

  • Centre information — centre name, location, type, contact person, role, and how documentation is currently handled. Provided by you when you apply for the pilot or contact us.
  • Account information — name, email, role, and centre association for educators, directors, owners, and parents.
  • Child information — only as recorded by authorised educators inside their centre, and kept within that centre.
  • Usage information — basic technical data about how the platform is used so we can keep it running and improve it.

Why information is collected

  • To provide documentation, planning, and communication tools to centres.
  • To support pilot centres and review applications personally.
  • To respond to questions sent through the contact form.
  • To keep the platform secure and reliable.

How information is used

  • To run the Kairos platform.
  • To communicate with the centre, educator, or parent who provided it.
  • Children’s data is never used for public marketing.
  • Aggregated, non-identifying patterns may be used to improve the platform.

Who can access information

  • Authorised centre staff, limited to what their role needs.
  • Parents, for their own child only.
  • The Kairos team, limited to what is needed to run and support the platform.
  • Trusted infrastructure providers under contract (for example, hosting and email delivery).

Parent and centre controls

  • Parents can request information about what is held about their child.
  • Centres can request export and deletion of records they own (controls in active development).
  • Educators can edit and unpublish stories they have created, subject to centre policy.

Data security approach

  • Encryption in transit.
  • Encryption at rest where supported by our infrastructure.
  • Role-based access controls.
  • Periodic review of how data is stored and processed.
